Policies
To keep things smooth and stress-free, we require a non-refundable deposit to book your date, with final payment due before your event. One reschedule is allowed with advance notice, and cancellations within 60 days are non-refundable. We value clear communication, kindness, and mutual respect—and expect the same in return. Full policy details are shared during booking.
1
Deposit Policy
A deposit of 30% is required to secure your date and begin planning. The remaining balance is due 7–14 days prior to your event (varies by package). Please note that deposits become non-refundable if cancellation occurs more than one week after your initial booking.
2
Cancellation Policy
If you need to cancel:
-
Cancellations made more than 60 days prior to the event may receive a partial refund of any paid amounts beyond the deposit.
-
Cancellations made within 60 days of the event are non-refundable.
-
We do not refund for weather, guest count changes, or vendor cancellations beyond our control.
3
Rescheduling Policy
If you need to reschedule due to illness, weather, or other circumstances:
-
We allow one reschedule, with at least 21 days' notice, subject to availability.
-
A rescheduling fee may apply if new vendor bookings are required.
4
Late Payment Policy
-
Payments not made within 5 business days of the due date will incur a 5% late fee.
-
Services may be paused until payments are current.
5
Vendor Payments
While I can source and recommend vendors, all vendor payments are handled directly by the client unless otherwise agreed upon in writing.
6
Communication & Meetings
-
Clients receive a shared planning document + email access.
-
We offer 1–2 virtual check-ins for standard packages; more for full-service clients.
7
Event Day Policy
-
Orovia staff will arrive at the agreed-upon time and stay until contracted responsibilities are complete.
-
Additional on-site time (early arrival, extended hours) is billed at an hourly rate unless pre-approved.
-
We do not provide manual labor (e.g., heavy lifting, venue teardown) unless stated in the agreement.
8
Photo & Content Use Policy
-
We may use professional photos or behind-the-scenes content from your event on our website, social media, or portfolio unless otherwise requested in writing.
-
We always credit photographers and respect client privacy—just let us know if you'd prefer your event not be shared.
9
Code of Conduct Policy
-
Orovia is committed to creating respectful, inclusive, and joyful environments.
-
We reserve the right to end our services without refund if a client, vendor, or guest creates a hostile or unsafe situation.
10
Client Responsibilities Policy
-
Clients are responsible for providing accurate, timely information, reviewing materials, and securing vendors not contracted through Orovia.
-
Orovia is not liable for vendor performance but will advocate on your behalf in case of issues.
11
Changes to Scope of Work
-
If the event scope changes after the contract is signed (e.g., increase in guest count, add-on services), a revised invoice or addendum will be provided and must be approved in writing.
